Office Policies for a Calm & Respectful Space

To ensure we provide the best care and experience for all of our practice members, we kindly remind you to honor the following office guidelines:

  • Appointment Cancellations & No-Shows: We do understand that life happens. However, if you need to cancel or reschedule your appointment, please provide at least 24 hours’ notice. This allows us to offer your time slot to another patient in need. Appointments missed without notice or with less than 24 hours’ notice may be subject to a cancellation fee. We do our very best to get you rescheduled for the same week to avoid this fee. Please note the following structure for missed appointments:

First - $0 fee; Second - $35 fee; Third - $70 fee

We will be confirming a credit card on file with every practice member.

  • Tardiness: Please do your best to be on time or even a few minutes early for your appointment. Our schedule depends on you, so call the office if you are running behind by 5 minutes or more to notify us. Sometimes we have longer appointments scheduled and this helps to maintain the flow. If you are more than 10 minutes late, we reserve the right to reschedule your appointment.

  • Fragrance-Free Environment: To protect those with allergies and sensitivities, we maintain a fragrance-free office. Please refrain from wearing perfumes, colognes, scented lotions or essential oils during your visit. Several practice members are very sensitive to scents.

  • No Smoking or Vaping Before Visits: To keep our space clean and comfortable for all, we ask that you avoid smoking, vaping or using strong-smelling substances (including cannabis) at least 1 hour prior to your appointment.

  • Parking: While we understand there are a handful of practice members who need to use the “Turn Around” space in our lot to get closer to the office, please do not park in that space long term while visiting.

  • Cell Phones & Electronics: Per HIPAA standards, we ask that all practice members and guests refrain from conducting cell phone conversations and silence all electronic devices while in our building. Should a matter require your immediate attention, we ask that you step outside of the building to address any telephone calls or correspondence. This includes watching videos with sound.

Thank you for helping us maintain a healing and welcoming environment for every member of our office family. We appreciate you and thank you for entrusting us with your care here at Vitality.
